The challenge
Family in Christ Community Church was using credit cards to manage their spending needs and as the Office Administrator, Mary Boggs, was faced with the task of a manual month end reconciliation process.
As Mary explains, “I would have to give ministry leads the physical paper credit card statement that I received at the end of every month. They would need to attach receipts and tag each transaction based on which budget they wanted to allocate it to and write it on the paper itself. I then had to enter all this information manually into Aplos. It took so much time!”
Given the Aplos/PEX integration, Mary looked into PEX to help better manage the church’s expenditures in addition to simplifying the back-end accounting processes.
The solution
Establishing PEX has not only helped manage day to day expenses but also the expenses of larger programs. As Mary says, “Our youth pastor went on a mission trip and when he came back he said, “It was great having the PEX card. I was able to take the pictures of the receipts on the spot and usually when I come back from mission trips I have a huge stack of receipts.” So it was exciting to hear this from the team on how much they liked using the card. And of course I’m happy not to have that huge pile of receipts.”
Additionally, Family in Christ Community Church is also utilizing PEX Virtual Vendor cards and PEX Credit Expense to better organize their expenditures. As Mary explains, “Our facilities manager usually has to make bigger purchases to maintain the building so he is the primary user of the PEX Credit solution. It’s great because he is able to do all the tagging and all I need to do is go in and check to make sure everything is running smoothly. Then our ministry leaders will use the vendor cards to manage monthly payments for subscriptions and such.”
